Private medical meeting notes: from conversation to reviewed record
A practical workflow for doctors evaluating local transcription: separate drafts from the clinical record, check critical details and control every copy.
A useful medical note needs accurate facts, an accountable author and a known destination. An automatic transcript provides none of those guarantees on its own. For an appointment or case discussion, decide who reviews the draft and where the approved record will live before turning on a recorder.
Choose the workflow with the smallest footprint
- A consultation recording captures both sides, including unexpected personal details. Establish the necessary permission and the organization’s approval first.
- Post-appointment dictation can produce a shorter draft. Dictate only information needed for the record and use an approved workstation.
- A case conference may involve multiple patients and clinicians. Limit identifiers and define which participants need the resulting notes.
Keep the draft separate from the medical record
Daisy can transcribe audio on a Mac and keep the working archive locally. That can help a clinician review what was said without creating a Daisy cloud archive. It is not an EHR, a prescribing system or a medical device claim. Do not treat a saved transcript as a signed clinical note or assume a native EHR integration.
Use a draft structure with the visit reference, information reported, questions still open and follow-up to confirm. Transfer the reviewed content into your approved record system through its established process. Avoid leaving parallel “official” versions in an email, a personal folder and the EHR.
Review the details that can change a decision
- Check patient identity and who made each statement. A speaker label is not identity verification.
- Verify medication names, doses, units, dates, allergies and negations against the source and clinical context. A fluent summary can still be wrong.
- Mark uncertainty and omissions instead of letting an AI fill gaps. The clinician remains responsible for the final record.
Evaluate the whole data path
A local transcript can still leave the device through a synchronized folder, an external AI summary, an export or an AI client connected to the archive. For a local-only trial, disable those paths, use approved disk encryption and check backup access. Daisy does not encrypt the meeting files itself. Daisy privacy. Daisy security.
For US organizations subject to HIPAA, using a cloud provider for electronic protected health information brings business associate and safeguard requirements. HHS guidance is a starting point for reviewing the provider relationship; “local” is not a substitute for an organization’s risk assessment. HHS: cloud computing and HIPAA.
Run a pilot without patient data
Use a fictional consultation with deliberately difficult terminology. Measure correction time, missed details and the time required to enter the approved note. Confirm where the audio and text are stored, how backups work and how required retention is enforced. If the organization needs centralized access controls, audit history or managed retention, evaluate an approved clinical platform instead of stretching a personal recorder to fit.
